Who operates the platform
Axalytics Consulting operates Axalytics Wellness. This policy explains the information used by the booking platform. Your chosen practitioner and payment or video service providers may maintain separate records under their own privacy practices.
Information collected and its purpose
At registration, we collect your name, email address, account role, and the versions and timestamp of your platform policy acceptance. Passwords and email verification are handled by our authentication service. We use this information to provide account access, protect your account and contact you about the service.
Before booking, we ask for your current country and city, phone number with country code, preferred session language, and confirmation that you are an adult. A short reason for seeking support is optional. These details help the practitioner coordinate the appointment and check whether they can serve your location. You separately agree to share them with the chosen practitioner before payment.
For practitioner applications, we collect professional qualifications, awarding institution and graduation year, registration details where applicable, practice location and contact phone, eligible service countries and a professional declaration. Qualification and registration evidence is private to the provider and administrator. An uploaded profile photo is published with the approved profile. We use this information to review credentials and administer professional accounts.
We store the appointment time, chosen practitioner, session format, clinic address or video link, accepted booking terms, consent timestamp, payment status, INR amount, gateway order/payment identifiers, PayPal receiving email, currency, converted amount and transaction reference, cash receipt status, and notification preferences and delivery records to administer your booking. Payment card and banking details are entered with the payment provider; they are not collected through our booking intake form.
Hosting services process technical information such as IP address for security and approximate region detection. The detected country only suggests your location and display currency; you must confirm your current location before booking. Your saved appointment timezone controls notifications. Browser session cookies support secure login, and local storage can retain display preferences.
Who can receive information
Your chosen practitioner receives your booking and contact details and any optional support reason you enter, after you agree at booking. Public practitioner profiles do not expose patient information. Platform administrators can access information needed to review practitioner profiles, operate the service and resolve support issues.
Service providers help run the platform: Supabase for authentication and backend scheduling, Sites/Cloudflare for hosting and booking storage, Resend for email, and Razorpay or PayPal through the practitioner’s account for payments. Google Fonts supplies the site’s fonts. The provider behind your video link processes information when you use its service. These providers may process information outside your country.
Email confirmations, reminders and calendar attachments include appointment information and the video link or clinic address. Providers may connect Google Calendar to generate unique Google Meet links. We store the Google refresh token encrypted and use it to create private appointment-slot events without patient names or intake details. Google receives those events and processes video meetings under its own terms. They do not include your reason for seeking support. If WhatsApp becomes available and you separately opt in, Meta/WhatsApp receives your phone number, appointment time and a link to your dashboard; it does not receive your intake text or video credentials through our reminder messages.
Your choices
You can browse practitioner profiles without an account. Information needed for registration and booking is marked as required; without it, those services cannot be completed. You can leave the support reason blank. Policy acknowledgement at registration does not opt you into WhatsApp or authorize future unrelated marketing.
You can enable or disable appointment reminder emails from your patient dashboard. Booking confirmations and calendar updates remain part of managing the appointment. WhatsApp opt-in is separate; you can turn it off in the dashboard or reply STOP when that service is connected.
For requests to access or correct your information, withdraw consent, raise a privacy concern, or discuss deletion where the dashboard option cannot be used, contact Axalytics Consulting through the main business website. Contact your practitioner separately about their professional records. Some requests may need identity verification or resolution of an active booking or payment.
Retention and deletion
Account and booking records remain available while you use the service. A patient can delete their account from Account settings once active sessions, pending payments and cancellation requests have been resolved. The platform then removes the login, profile, contact and intake information, policy acceptance stored with the account, and owned queued notification records.
Anonymized historical appointment and payment identifiers, INR amounts and booking terms remain for administration and payment reconciliation. Deletion does not remove messages already delivered to inboxes or calendars, copies held by your practitioner, or records separately maintained by payment, authentication, hosting and video providers under their retention practices.
Protection and sensitive information
Private dashboards require verified login and server-side access checks. Practitioner payment credentials and Google connection tokens are encrypted in platform storage. We use HTTPS and restrict actions by registered role. No online service can guarantee complete security. Appointment correspondence may reveal that you use this service to anyone who can access your inbox, calendar, phone or shared device.
Only enter information needed to arrange your session. Do not put payment card details, identity documents or detailed clinical records in the optional support reason. Discuss clinical confidentiality and any limits on it directly with your practitioner.
Policy versions
The effective version appears above. We record acknowledgement of this policy when you register. If our practices change, we will update this page and provide further notice or request separate consent where needed for a new use of your information.
